This website is prepared for White Horse Building Consultancy Ltd, company number 16543438, registered in England and Wales. For enquiries about your information, email info@whitehorsebc.co.uk.

The enquiry form

We collect your name and contact details with the property or project information you choose to provide. We use this information to assess your enquiry and respond about a potential instruction. A phone number is required for every quotation request. We do not add enquiry contacts to marketing lists.

Before you send the form, an unfinished draft is kept in this browser tab so that you can go back or refresh without losing your answers. It expires after 24 hours without further activity and is cleared from the form after successful submission. Browser features such as autofill may also retain information under your device settings. Avoid entering private details on a shared device.

When you request your quotation, the website sends your answers directly to WHBC. We send an acknowledgement to the email address you provide, then review the information and reply personally. A temporary delivery record supports safe retries. The website clears each message from that record when the email provider accepts it for delivery. Unfinished delivery copies expire after 24 hours and are cleared the next time the enquiry service performs its routine cleanup. Minimal delivery references expire after 30 days and are cleared on the same basis.

The site checks submissions for automated abuse. It uses short lived, obscured identifiers derived from technical connection information and email addresses to limit repeated attempts. These checks do not add advertising cookies.

Please provide only information needed to discuss the property. Do not include sensitive personal details about occupants or information you are not entitled to share. Direct file uploads are not used. You can send relevant photographs or documents by emailing WHBC with your enquiry reference.

Services that handle enquiry information

The website uses OpenAI Sites hosting and its Cloudflare infrastructure to process enquiries and maintain temporary delivery records. Postmark delivers the enquiry notification to WHBC and an automatic acknowledgement to the email address you provide. The acknowledgement contains your enquiry reference and selected service. WHBC receives correspondence in its Google Workspace business mailbox. These providers process information for delivery, security and service operation.

These services may process information outside the UK. Postmark describes its international processing and contractual safeguards in its data processing terms. Contact WHBC using the address above if you would like more information about the providers and safeguards relevant to your enquiry.

WHBC Property Intelligence

The free checker sends the postcode you enter to Postcodes.io and HM Land Registry to retrieve postcode context and recorded residential sale information. It sends the postcode area coordinates to the government Planning Data service to find available heritage records. It does not send your name or contact details to these services. A manually entered address is compared with the returned records on the WHBC server.

Anonymous checks are not customer enquiries and do not send a notification to WHBC. The application does not keep a database of searched addresses. Results are held temporarily in the page memory to avoid repeating requests. When you choose to request a quotation, the address and any source summary you opt to include are kept in this browser tab for up to one hour for transfer to the form. They then follow the enquiry draft and correspondence handling described above.

For service reliability, the checker counts completed checks and quotation handovers without an address or contact details. It records provider status counts to identify failures. These daily totals expire after 30 days and are removed by the next request that runs cleanup. Abuse prevention uses an obscured connection identifier with a short expiry. These property check counts do not add cookies. Optional website analytics is described below. The hosting infrastructure may also process technical access information to provide and secure the website.

This processing provides the property check you requested and protects the service from misuse. Information returned by external providers is subject to their accuracy and coverage. Opening an official checking link takes you to a separate service with its own privacy information. You can remove the optional snapshot from your quotation form before sending.

Enquiry correspondence

If you send an enquiry, its purpose is to allow the consultancy to assess your request and respond about a potential instruction. Information may be needed to take steps at your request before entering a contract. Relevant business records may also be needed for legitimate business administration or legal obligations.

The appropriate retention period depends on whether the enquiry leads to an appointment and whether information remains necessary for legal or insurance purposes. You can ask about the handling of your particular correspondence using the contact above. The terms for an accepted instruction should address the records relating to that service.

Data protection rights may include access to your information and correction of inaccurate details. Depending on the circumstances, you may also request erasure or restriction, or object to particular processing. You can raise a concern with the Information Commissioner’s Office.

Cookies and website use

Basic page counts

Our server keeps a daily total of full pages served so that we can understand overall use and improve this website. This count does not use tracking cookies or visitor identifiers. It records only the date and a total number. The count does not store your IP address, the page URL or information you enter into a form. It cannot recognise you or join your activity into a browsing history. The totals stay in this website’s database on OpenAI Sites and its Cloudflare infrastructure. They are not sent to Google.

Basic counting operates by default, including when you choose Essential cookies only. To stop it for future page loads, open Cookie settings in the footer, turn off Basic page counts and select Save cookie choices. The preference cookie, whbc-page-counts, stores only on or off for 180 days. It is used solely to remember and respect this choice. It does not contain an identifier. We retain daily totals for up to 365 days, with older totals removed when the next counted request runs cleanup.

These figures count pages served, not unique visitors. They can include reloads and automated requests. Navigation handled within an already loaded page, or a page restored from a browser cache, may not request a full page from our server and will not add to this basic count. The separate hosting infrastructure may process technical information to deliver and secure the website.

Optional cookies

With your consent, we use Google Analytics 4 to understand visits to our pages and how visitors contact WHBC. Analytics records page views and successful quotation enquiries, with contact link interactions. It also receives technical information about the visit, such as browser and device information. We do not send your form answers, property search results or enquiry reference to Google Analytics.

Google Analytics loads only after you accept optional cookies in the cookie notice. You can choose Essential cookies only and continue using every service, including the enquiry form. You can change your choice at any time using Cookie settings in the footer. Adjust the Optional cookies switch and select Save cookie choices. Withdrawing consent stops further Google Analytics collection and removes this website’s Google Analytics cookies from your browser.

Your consent choice is stored in this browser for 180 days. When accepted, Google Analytics uses cookies beginning with _ga to distinguish visits and sessions. These are configured to expire after 180 days, with their expiry renewed during use. A limited list of enquiry references is kept in the current browser tab to prevent the same accepted enquiry from being counted twice; those references are not sent to Google.

Google may process Analytics information outside the UK. See Google’s privacy policy and how Google uses information from websites that use its services. Advertising storage and advertising personalisation are disabled in this installation.

The hosting provider may process technical information needed to serve and secure the website. Property check counts remain separate from Google Analytics and do not contain enquiry answers or searched addresses. External links take you to services with their own privacy information.
