Contractor payment and variation reviews
Get a reasoned review of contractor payment requests and additional work proposals before making the relevant project decision.
Discuss a payment or variation reviewUnderstand what is being claimed and why
An application for payment should be understood in the context of the agreed work and the progress achieved. A proposed variation also needs a clear explanation of what has changed and how the price has been calculated.
WHBC provides an advisory review of the information available, identifying items that need clarification or further evidence. Where a contract administration appointment is required, the formal duties and authority must be expressly included in the agreed scope.
A structured review of the request
- Payment applications: compare the request with the agreed pricing information and available progress records.
- Variation scope: establish how the proposed work differs from the original requirements and identify the supporting instruction records.
- Cost substantiation: examine the breakdown and highlight unexplained allowances or possible duplication.
- Client advice: set out findings and unresolved queries, with site observations included where an inspection is agreed.
What you receive
A written review identifies the items supported by the available evidence and those requiring clarification. An annotated payment schedule or variation register can record the assessment and subsequent responses. The advice supports the client or appointed contract administrator in making the relevant contractual decision.
Example scenario: additional roof repairs
If a contractor proposes additional roof repairs, a review could compare the requested work with the original schedule and examine the supporting photographs. Any overlap with the original price could then be raised for clarification before the proposal is agreed.
Questions about this service
Yes. A focused review can be commissioned for a particular item. Send the contract information and the original pricing documents, together with the request and any supporting correspondence.
An advisory review does not itself include issuing certificates or contractual notices. Those duties require an express appointment under the relevant arrangements. Tell us about any stated deadlines when enquiring so the required role can be established.
That depends on the question being reviewed and the evidence available. A visit may be useful to assess visible progress, although concealed work may need supporting records or further investigation.
We can review the technical scope and supporting cost information, then explain the points requiring resolution. Formal dispute representation or legal advice would need an appropriate separate appointment.
