Building project reporting and controls

Give your project a consistent reporting process, so decisions are based on an understood position and recorded clearly.

Discuss your project reporting

Know what has changed since the last report

Information can become fragmented when programme updates and cost changes arrive through separate conversations. A consistent reporting process brings the relevant records together and makes outstanding decisions easier to see.

WHBC can establish proportionate project controls or help maintain those already in place. Reporting is shaped around the client’s approval process, with an agreed frequency and a clear distinction between confirmed information and items still awaiting a response.

Usable records for day to day project decisions

  • Progress reporting: bring together agreed updates and highlight departures from the current programme.
  • Cost tracking: record approved expenditure and proposed changes against the agreed budget information.
  • Action and decision registers: identify outstanding matters and record who is expected to respond.
  • Change control: maintain a record of proposals and approvals so the effect of a change can be followed.
  • Risk and issue reviews: track identified concerns and record the response agreed by the project team.

What you receive

A concise project report is supported by the registers appropriate to the appointment. These may include a cost tracker and change log, together with open actions. Each reporting cycle records the position at that date and identifies decisions needed from the client.

Example scenario: tracking proposed changes

If several changes are proposed during a refurbishment, a change log could distinguish items awaiting prices from those already approved. The client report could then show their potential effect on the remaining budget without treating every proposal as an agreed commitment.

Questions about this service

Yes. Send the format and explain who uses it to make decisions. We can review how the required information will be collected and agree any changes needed to make the report usable.

The frequency is agreed around the project and the client’s reporting cycle. The appointment will also identify the information needed from others and when it must be supplied.

Reports identify their information sources and any unresolved qualifications. Independent site inspections or detailed verification can be included where agreed, with the extent of that work stated in the appointment.

The client retains the relevant approval authority, alongside the roles expressly appointed under the building contract. Reporting support records those decisions and flags matters awaiting approval.
